April 13 , 2008 Texas State Tri 2008: Volunteers We would like to thank everyone for Volunteering for the Texas State Triathlon 2008; Without Volunteers athletic events such as this would not be possible. The Event will be held at the Aquarena Springs Center on April 13th 2008. Below is a list of all Volunteers, assigned duties and times. Please find your name on the list and note the day and time that you will be needed. The start times are fixed times the end times will vary, some people may be asked to stay a little longer than posted times, others may be able to leave early. Please check with the Volunteer coordinator or the team member responsible for your Group before taking off. The Volunteer Coordinator will have a sign-in sheet for all volunteers. All volunteers must sign the sheet if they would like to receive the extra credit that is available. The Volunteer Coordinator for the Event will be Erin Dalbey. Erin ’s Cell phone is 480-209-6036. Please only call Erin with Race-day emergencies. There will be a Mandatory volunteer meeting at 0600 for everyone assigned to Parking, Athlete check-in, Swim Course, Run Course, Bike Course, and Unassigned groups at the volunteer check in table. At this meeting all the volunteers will be divided into their specific groups (as per attached list) and introduced to the team member responsible for your specific Group. All volunteers in the Un-assigned category will be assigned at this time. Each Group leader will describe specific duties to all of the volunteers in the group and get you set-up with necessary equipment (if needed). Finish line, Race Party, and Breakdown/Clean-up volunteers should report to the volunteer table at the time specified on the list. Everyone assigned to Course Set-up on Saturday should arrive and meet at the Aquarena Springs Center by 1500 on April 12th. Some sort of Breakfast Munchies will be provided before the Volunteer meeting. Water will also be provided, however it is always a good idea for each volunteer to bring some extra just in case. Below is a short list of items to bring or consider for race day. 1) Check the weather and dress appropriately. 2) Bring a hat b/c you could be out in the sun for several hours. 3) Bring Sunscreen 4) Bring Extra Water and snacks if you will need to munch on something during times allotted. 5) Bring your cell phones (if you have one) to report any race emergencies back to the Race director or Volunteer Coordinator. 6) Bring a Good attitude and have fun!!!!! Parking for all volunteers on the first shift will be at the Old Hotel parking lot in the Aqaurena Springs Center . The lower parking lot will be used for bike transition, so no parking in this area please. Parking for volunteers that that are scheduled to arrive after the first group will have to park on the other side of the street from the Aquarena Springs Center to avoid the race participants. Brief Description of Duties: Course Set-up: 1) Help setting up and marking each leg of the race as well as transition areas. Parking: 1) You will be guiding Athletes into proper parking areas as well as directing the athletes in the proper direction to the transition area. Athlete check-in/Transition 1) You will be responsible for body marking the athletes. 2) Checking Bikes in and out of transition, Numbers on bike must match athlete. 3) Checking bikes and helmets for safety violations (These will be explained) 4) Making sure no one Without proper body marking is allowed to enter transition 5) Guiding Athletes in an out of transition during the race. Swim: 1) You will help guide athletes in and out of the water. 2) Act as Security to make sure no one enters the water early, or from other areas besides the swim entrance. 3) Swim Volunteers should bring clothes and shoes that can get wet; you will probably have to wade into the water to assist athletes in and out of the water. ***There will be qualified lifeguards on Duty. Bike Course: 1) You will help guide athletes out of the park and keep them going in the right direction. 2) There are generally volunteers at each turns on the race course to guide athletes in the right direction, as well as to warn them at sharp turns etc. 3) Make sure you bring a cell phone with you to report any course emergencies. 4) You may NOT Assist a Athlete with a flat tire or a Bike Problem, unless they are asking to be taken out of the race. 5) You may help any bikers who crash or fall during the race. 6) There will be police at the major intersections to direct traffic. Run Course: 1) Direct athletes in the right direction 2) Man Aide stations where water and Gatorade will be handed to the runners as they come by. Finish line: 1) Help guide people to the finish and help yelling out numbers of upcoming racers to the MC if necessary. After Race Party/Food: 1) Help the Set-up and hand out Food and water to Athletes at the after race event. Breakdown/clean-up 1) Help clean-up and collect all equipment off of race course to return the course back to its pre-race shape. Thanks once again to all Volunteers.
